Optional Modules
The base Eloquent Archives system gives you all the function necessary to fully describe your holdings down to the item level. You get intuitive Google-style search options for novices and precision searches for advanced researchers, as well as utility searches for the archives staff. Your public gains access as soon as a record is flagged for public viewing. The following modules are easily added to the base system and integrated with the descriptive records:
Linking digital content to your descriptive records is as simple as adding an attachment to an email message. It will be sent to the server along with the descriptive record for public viewing, unless restricted, and with watermark protection if required. All forms of digital content and electronic records are supported; including PDF’s, Word documents, oral history, and scanned photographs. Batch loading of content from digitization projects is also supported.
This module records all materials, usually physical boxes, received. Boxes are linked to the appropriate accession record, which in turn is linked to the person contributing the material and to the appropriate record group (fonds/collection).
The software has a table for every storage location within the warehouse. It supports a hierarchical structure for building, aisle, bay, and shelf; or whatever structure is appropriate. This 1-to-1 relationship with containers (boxes) means that a finding aid can show exactly where the item is.
This module supports tracking with barcodes or RFID any item that is removed from its permanent storage location. A staff person can easily initiate the process of creating and sending emails for items out longer than a specified time period.
The base system provides public online access into the descriptive records. This Research Management module is for recording and tracking requests researchers send to the archival institution. It also maintains demographic information for researchers. Requests are linked to researchers as well as materials requested.
This module maintains a table of prices for services and logs the activities preformed and cost incurred when responding to a researcher request. Project activities are logged and managed for timely completion and cost. The information can be used for billing as well as costing.
This module creates another access point for researchers. It contains a short name for each descriptive record and initially displays only the top-level records. Researchers open them to go down the hierarchy. Clicking on any name will invoke a detail display for the descriptive record. The published HTML index is hosted where it becomes accessible to Google and other search engines. Descriptive detail and content is retrieved from the dynamic Eloquent Archives database.
A static HTML finding aid can be published for posting on any server, making the data accessible to Google and other search engines. You custom tailor the publisher for a 2- or 3-level tree index on the left and descriptive data for selected items on the right. The detail on the right may include links to digital content and back to the live database for detail at lower levels.
This module is for exporting descriptive records in EAD format for import into another system. They are the top level records only and contain the hyperlink back into the Eloquent Archives database for access to the lower levels.
Individual finding aids can be published for any record group (fonds/collection) by simply identifying the appropriate top level and sending it to the publisher. The resulting publication has header information for the record group, an index on the left and a detail on the right. It can be custom tailored for style and content.
This module provides an interesting access point for a repository that contains history about various geographic locations. The search can be initiated with some category of geographic names, such as parks, churches, or mines. This displays the resulting locations on a map of the general area. From there you can either manipulate the map or click for various displays of data and digital content out of the Eloquent Archives database.
In addition to the above application-specific modules, the WebGENCAT platform may be enhanced with modules to increase the number of users permitted, to add more processing power for large systems, to add multilingual capability and to segregate portions of the data into specific branches/departments. |
